WHITE HALL ANIMAL CLINIC — CSR JOB DESCRIPTION

Customer service representatives at White Hall Animal Clinic should have a basic knowledge and comfort with animal care as well as good interpersonal skills.

Clinic duties are not limited to this document and expectations may be adjusted as deemed appropriate by DVMs employed by White Hall Animal Clinic.

The customer service representatives at White Hall Animal Clinic will be responsible for the duties outlined below:

  1. Answer phone calls professionally and direct client questions to appropriate staff as needed.
    1. Technician questions
      1. Medical questions, medication clarification, etc.
      2. Estimates or explanations of procedures
      3. Other based on comfort level
    2. Messages for veterinarians
  2. Respond to messages promptly and appropriately
    1. Answering machine messages
    2. Email
    3. Otto Texts and Request
    4. Other
  3. Schedule appointments, surgical procedures and boarding reservations
    1. Have an understanding of clinic policies regarding required vaccinations and tests for routine procedures and boarding.
    2. Schedule appointments with accuracy
      1. Primary complaint or reason for visit
      2. Scheduled in appropriate category
    3. Advise clients of reminders due at the time of scheduling
    4. Request patient records from other clinics or facilities as needed
      1. Ensure reminders are entered for forwarded records
    5. Verify contact information
      1. Phone number

  4. Check-in regular appointments
    1. Verify contact number for visit – curbside or drop off

The veterinary assistants and technicians at White Hall Animal Clinic will be responsible for the duties outlined below and are always under the direct supervision of a licensed veterinarian. Clinic duties are not limited to this document and expectations may be adjusted as deemed appropriate by DVMs employed by White Hall Animal Clinic.

Veterinary assistants have responsibilities similar to those of the registered technicians as well as those of the receptionists. Many of the responsibilities outlined require training.

Technician and Veterinary Assisting:

  1. Office and hospital procedures, client relations and communication
    1. Office and clinical tasks
      1. Schedule appointments and help triage patients according to client, patient and clinic needs via phone, in person, email or other electronic or digital means.
      2. Handle financial transactions
      3. Assist with inventory control
        1. Unpack shipments and stock
    2. Acquire Patient history
      1. Assistants should to be able to effectively and appropriately communicate with clients to obtain important medical history and information about patients.
    3. Provide instructions for routine care and preventative measures
      1. Have through knowledge, understanding and the ability to communicate
        1. Parasite control
        2. Vaccine protocols
        3. Medication administration
        4. Bandage or orthopedic device care

      2. Understand basic normal parameters for TPR

        2. Auscultate heart and lungs using a stethoscope
    2. Emergency procedures
      1. Recognize and appropriately respond to emergency situations
      2. Assist in CPR as directed
      3. Know the location and be able to quickly retrieve emergency medications as needed
    3. Patient care/husbandry
      1. Recognize common breeds
      2. Demonstrate the ability to perform various grooming tasks
